Creating events
Events are how you organise rehearsals, matches, concerts, performances, and other activities. Each event can include detailed information and options to help you manage attendance and logistics.
How to create an event
- Go to the left-navigation and open the Events section.
- Click the Create Event button.
- Enter the event name, date, time, and location.
- Add any extended text information, such as schedule details or special instructions.
- Configure additional options (see below).
- Click Save to create the event.
- You will then see the event you have created.
Event options explained
There are various options that affect the information you collect from members
- Status: can be one of tentative, confirmed or cancelled
- Website: a link to the website of the event, which will show as a link on the event page.
- Description: any information about the event that you want to share with your group members
- Expense claims allowed: can members claim for expenses? If so, you can specify what they can claim for.
- Lift-sharing: will members drive using their own transport? If so, they can specify if they are driving, allowing other members to ask for lifts to the event.
- Guests: can members bring guests to the event? If so, they can indicate how many and their names, which is useful for concerts, matches, festivals and accreditation.
- Player selection: Once members have indicated their availability, you can deal with this in one of two ways: a) anyone who is available can play. b) as an admin, you can select who will play out of the available players. Player selection allows you to work with the second option.
- Hide the participant list: Only group leaders can see who is attending - to members, they can only see the event details and the aggregate number of players. This can be useful for privacy, or if you want to avoid members making themselves available only if their friends are playing.
You can also create a schedule list of key times relating to the event, e.g. arrival time, load-in, performance, departure times etc., by adding items under the 'event schedule' section.
